    03 Where Microsoft 365 Copilot is genuinely strong

    We are not going to pretend Copilot is a bad product. It is not.

    • It is grounded in your organisation's own data through Microsoft Graph: your mail, files, meetings and Teams chats.
    • It reaches across the whole suite, including Word, Excel, PowerPoint and Teams, not just email and calendar.
    • It comes with Microsoft's enterprise contractual framework: Product Terms, Data Protection Addendum, Enterprise Data Protection.
    • Forrester's SMB study found a 4.5x three-year ROI and about 1.5 hours per week of time freed per person, in organisations where adoption actually happens.

    If you need AI inside Excel formulas and PowerPoint decks, Copilot does things timelit does not. That is a real answer, not a hedge.

    04 Where Copilot leaves teams frustrated

    It is reactive by design. The licence gets bought, the usage does not follow. This is the single most common complaint in Copilot rollouts, and it is not a training problem you can fix with another enablement session. People under time pressure do not stop to delegate; they just do the task.

    Adoption is the whole ROI. Every Copilot business case assumes a certain number of prompts per user per week. An unused seat is the only genuinely expensive seat, and Copilot seats are not cheap.

    The scope you use is narrower than the scope you pay for. Most organisations that measure Copilot usage find it concentrated in Outlook and Teams, which is exactly the surface a focused tool can cover for less.

    Microsoft 365 Copilot is an add-on, so it always sits on top of a qualifying base licence. The sticker price is not the real price.

    06 The EU Data Boundary question

    This is the part that changed in 2026, and it matters for any organisation with a documented data-residency policy.

    Since 7 January 2026, Anthropic operates as a Microsoft subprocessor for Copilot experiences. Microsoft's own documentation states that Anthropic models deployed in Microsoft 365 Copilot, Researcher, Copilot Studio and the Word, Excel and PowerPoint agents are currently excluded from the EU Data Boundary and, where applicable, from in-country processing commitments.

    Tenants in the EU, EFTA and the UK have these models off by default, which is the correct protection. But the trade-off is real and it lands on your Global Administrator:

    • Leave them off, and some Copilot features are unavailable or fall back to a different model.
    • Switch them on, and the affected prompts and outputs are processed outside the EU Data Boundary.

    Copilot's core OpenAI-based path remains within Microsoft's EU Data Boundary commitments, so this is not a blanket "Copilot leaves the EU" claim. It is a feature-by-feature setting that someone in your organisation has to own, document and review. If you are working through an EU AI Act vendor review, it is one more row in the register.

    10 How to choose

    Choose Microsoft 365 Copilot if you need AI inside Word, Excel and PowerPoint, you are building custom agents in Copilot Studio, and you have a concrete plan for driving adoption. Copilot's breadth is real.

    Choose Superhuman or Shortwave if your bottleneck is the speed of the inbox interface itself and you are happy to move into a new email client. Shortwave only if you are on Gmail.

    Choose Otter or Fireflies if what you need is an accurate record of meetings, not action taken on them.
